This is how you can share Drive files with an expiration date

The platform allows you to set a deadline for access to documents and folders.

Drive It is a very useful work and study tool because it allows you to share files and documents in the cloud so that several have access to them, giving them options to download and edit them.

However, the fact that others may have unlimited access to that document can be a risk in the future and for this there is a function that allows you to limit the time in which sharing is allowed.

The tool is specially designed to share content with people outside the organization and who in the future will not be able to modify or view the files for security reasons or because they have finished working with them.

How to put an expiration date on Drive documents

It is important to know that in order to enjoy this feature, the user account Drive must be part of Google Workspacewhich is the space of the platform oriented to companies or ventures and gives them a domain for all their work.

Additionally, the expiration date limits access to read, edit, and comment on content and can be applied to individual files and folders. This is the process to add the expiration date, although first you have to share the document:

– Open the file in Google Drive.

– Click the Share button.

– Search for the contact in the search box or enter an email address.

– Assign a role: Reader, Commenter, Editor.

Subsequently, it will be time to set the access deadline:

– Enter the file again.

– Click the Share button.

– Click on the arrow, next to the user, and choose the Add expiration option.

– By default, it indicates 30 days, but it can be changed to one day and one month.

– When sharing again, a time icon will appear next to the user indicating that the function is already active.

This configuration can be modified as many times as necessary, extending or reducing the expiration time, or eliminating this limitation.

In addition, it is important to note that the date is individual, that is, the time limit must be adjusted for each person who is given access to the document and not for a group.

In the case of folders, the process is similar, except that it must be started by right-clicking the folder, then Sharing and finally setting the expiration date. Google ensures that you can “set expiration dates for readers and commenters” and that if you set “an expiration date for an editor on a folder, their role will change to Reader”, but you can “change their role to Commenter and keep the expiration date”.
